3. How I use your information
For providing therapy
The primary reason I hold your information is to provide you with a safe and effective therapeutic service. The legal basis for processing your special category health data is Article 9(2)(h) UK GDPR - processing necessary for the provision of health or social care.
For legitimate business purposes
I also process your information on the basis of legitimate interests for:
· Scheduling and appointment management
· Invoicing and financial records (required for 7 years under HMRC rules)
· Communicating with you about our work together
· Maintaining records as required by my professional body BACP
· For marketing and website enquiries
If you contact me through my website or sign up to my mailing list, I process your contact details on the basis of your consent or legitimate interest. You can withdraw consent or unsubscribe at any time.
4. Who I share your information with
I do not sell or rent your personal information. I may share it in the following limited circumstances:
· Supervision:
· Clinical supervision: I work under regular clinical supervision as required by my professional body. I may discuss aspects of our work with my supervisor. They are bound by the same confidentiality obligations as I am. I use anonymised or minimised details wherever possible.
· Legal and safeguarding obligations: In rare circumstances, I may be required to share information without your consent — for example, if I have serious concerns about risk to you or someone else, or if I am required to do so by law. I will always aim to discuss this with you first wherever it is safe to do so.
· Third-party services: I use a small number of trusted tools to run my practice, including Calendly, Zoom and Funnel Sketchers (email service) and BACPAC (notes). These providers act as data processors on my behalf and are bound by data processing agreements.
5. How long I keep your information
I keep client records for a minimum of [3 years] after our last contact, in line with the guidance of my professional body. After this period, records are securely destroyed.
Financial records are kept for 7 years in line with HMRC requirements. If you contact me but we do not work together, I will delete your details within 12 months.
6. How I protect your information

· Email correspondence is kept in a password-protected account
· I do not discuss identifiable client information in public spaces
· My devices are password protected and encrypted

· Correct any inaccurate information
· Request deletion of your data (where no legal obligation requires me to keep it)
· Object to or restrict how I process your data
· Withdraw consent for marketing communications at any time
